My experience in long-distance get-together plans is to create a time and place and day to meet ahead of time.
Also, exchange cell phone numbers ahead of time for all those who have posted. I'll send a private email to those who have indicated they are going so you will all have each other's private emails to exchange phone numbers that way if you prefer.
